Causes and solution of Duplicates Items in Outlook 2010

A smart MS Outlook user will never want to house duplicate items in his mailbox. Data redundancy always causes performance degradation in the application. Even if it isn't the reason, there is no point to give shelter to duplicate items. If you use MS Outlook on a daily basis, you must know the causes that create duplicates, some of them are as follows:

  • Setting inappropriate rules
  • Reconfiguration or reinstallation of the application
  • An email downloaded by Outlook from a single or multiple POP3 servers
  • Antivirus software or firewall
  • Synchronization of Outlook with PDA

These reasons are very common, yet are taken for granted. Other than this, duplicates are also caused when you carry out the import process. You may decide to import the data from a lower Outlook version to the upper one. In this case, if you have not turned on the duplicate detection feature, it won't warn you that duplicates are also being imported and you have a mailbox full of such items. The post explains a way to remove duplicate items after the import process is finished in MS Outlook 2010.

  • Open Outlook 2010.
  • Select the folder that consists of duplicate items to be removed.
  • In the Ribbon, click 'View' tab, click 'Change View', and then change the folder view to table type view.
  • Right-click the heading of a column, and then click on 'Field Chooser'.
  • On top of the 'Field Chooser', select the 'All <item name>' field from the list.
  • Drag the field 'Modified' to table heading.
  • Check whether the duplicate items have different dates from original items. If yes, click 'Modified' heading, it will sort the items by the date field.
  • From the displayed set that has to be deleted, click the top-most item and scroll down to the last item of the set. Make sure that you have pressed the 'Shift' key while clicking the last item.
  • Press 'Delete' on the keyboard. It will delete all the duplicates permanently from the folder that you selected in the beginning of the process.

That is the simply way of deleting the duplicate items. However, it is important to keep the Duplicate Detection feature turned on so that you can get warning.
