Why Splitting Process is Necessary for MS Outlook?



Outlook’s Personal Storage File or more precisely PST file is the storage house of your entire Outlook mailbox data. The PST file is saved on the local hard drive of your Windows system and contains your emails, contacts, journals, etc. The size of your Outlook PST file increases with time as more and more data is being added to it. Since the large size of Outlook PST file causes many problems associated to Outlook, thus it is always recommended to keep the size of your Outlook PST file at small size. 

The best way to manage Outlook PST and keep its size small is splitting a large PST into multiple smaller PST files. Let’s discuss scenarios in which, you need to split large PST file:

•    Over sized PST: Outlook 2002 and earlier Outlook versions support PST files of size less than or equal to 2GB. If your PST file reaches to 2GB or crosses this predefined limit, then chances of PST corruption occur. To avoid PST corruption due to oversize, you need to split your oversized Outlook PST file.

•    Slow Performance in MS Outlook: The major reason responsible for sluggish performance of Outlook is large sized PST file. Apart from earlier Outlook versions that support only 2GB PST file, the latest versions like Outlook 2003 and later that support 20GB PST file, also lose their performance as soon as their PST file reaches to 10GB. Therefore, in situations it is advised to split PST file to get its performance back.

•    Maintenance of large PST: The size of your Outlook PST file increases with time and managing large PST file is always difficult. Therefore, if you are facing problems in managing large PST files, then it is recommended to split PST into several smaller PST files.

Aforementioned are scenarios in which, you need to split a large sized PST into multiple smaller PST files. MS Outlook provides an inbuilt utility as Pst2gb.exe to split large sized PST file, but this tool too has some limitations. You cannot use this tool on the PST files that have size larger than 2GB.  Moreover many times during splitting process, this tool deletes some data from your PST file, which causes severe data loss, if you do not have its backup. Therefore, this inbuilt tool of Outlook is not an apt solution for splitting large PST file.
