If you are working with
MS Outlook for long time span, it is common to receive multiple
duplicate mail items in your mailbox. Duplicate mails are responsible
for occupying extra space as well as increase chances of confusion
for users. When you receive same mail in multiple copies then it
collapses the maintained integrity of email application. Microsoft
provides a filtration technique as a barrier for duplicate items.
Sometimes user may forget to apply this option or disable this

1 – Copy of message
items on server : If you are leaving the copy of Outlook data on
server by checking the option in send/receive along 'receive new
mails after few minutes'. It would create a chance to receive
duplicate messages.
How to resolve it :
You can increase the time interval option in following steps :
A- Click on file
B- Go to 'Advance'
through 'Option'
C- Enter in to
'Send/Receive' section then click on 'Send/Receive'
D - Set high time
interval with "Schedule an automatic send/receive every"
check box
Note : If you are
using a large amount of data on server then it is required to set
long time interval.
2 – Existing
duplicate mail account : If your mail application is to have
duplicate accounts then it is definite to receive duplicate mails
again and again. So, do not delay to check the duplicity in mail
account.
How to check and fix
it : It is quite simple to check and fix this problem in the
steps :
A- Choose the direction
file → Info → Account Setting
B - Click on Account
Setting option
C - An application box
appears with detailed account information
D - Check the duplicate
name corresponding to their information
E - If both accounts
contain same data then delete one of them
3 – Rule setting :
If you have set a rule to receive the different mail items then
recheck again. It is better to check one more option "stop
processing more rules" except your required rule. This
option helps you to avoid conflict in rule transparency.
